The True Cost of a Five-Tool Stack: A 2026 Calculation

Most software teams pay for Jira, Slack, Notion, Toggl, and a client portal. We did the math on what that actually costs — including the productivity tax. The number surprised us.

Walk into any software company and ask what tools they use. The answer is almost always the same: Jira, Slack, Notion, Toggl, plus something for client/external sharing. Five tools. Five logins. Five subscriptions.

What does that actually cost? We pulled out a calculator for a hypothetical 25-person team.

The line items (per user / month)

Jira Premium$15.25
Slack Business+$12.50
Notion Plus$10.00
Toggl Premium$18.00
Client portal (e.g. SuperOkay)$8.00
Subtotal$63.75

For 25 people: $1,593.75/month or $19,125/year.

The hidden tax: tool switching

Studies on "context switching" between apps show roughly 1,200 switches/day for the average knowledge worker, costing ~40 minutes/day in re-engagement time. At a $60/hour fully-loaded engineer rate, that's $10,400/year per person in lost productivity. For 25 people: $260,000/year.

The integration tax

Most teams glue these tools together with Zapier ($30+/month per workspace) or custom scripts a developer maintains for ~2 hours/week. Cost: ~$5,000/year of one engineer's time.

The total real cost

Subscriptions + switching tax + integration glue = roughly $284,000/year for a 25-person team running the standard stack.

WorkVib's number

One subscription, $12/user/month annual = $3,600/year for 25 people. AI included. Time tracking included. Client portal included. Chat included. The integration tax becomes near-zero because it's all one database.

Even ignoring the soft costs, you're $15,500/year ahead on subscriptions alone. Add back the switching savings and the picture changes entirely.

The skeptical pushback

"You can't replace Notion with WorkVib" — fair. We have notes, but not Notion-grade docs. If your team lives in long-form documentation, keep Notion and use WorkVib for the rest. Even a 4-tool replacement saves substantial money.
